 This Privacy Policy explains how FloralMate handles personal information when you visit floralmate.com or contact us about our floral packaging and supplies. Our website is for business buyers and supports product browsing and inquiries. It does not provide online checkout or payment.

Information you provide

Our inquiry form asks for your name, email address and message. These fields are required so we can respond to you. Your phone number is optional. Your message may include your company details, product requirements or other business information you choose to share.

When you contact us by email or WeCom, we receive the contact details and messages you send through those channels. After you become a customer, we also manage relevant contact details and business relationship records in our Futong CRM.

Please do not include payment card details, identity documents or sensitive personal information in a general product inquiry.

Information associated with website use

The services used to deliver our website and its features may process technical information, such as your IP address, browser and device details, pages viewed and request times. The information processed depends on the service and your interaction with it.

We use Google Analytics to understand website use and embedded Google Maps to display our location. These services may receive technical and usage information when their tags or embedded content load. Our Cookie section explains the current consent settings.

How we use your information

We use inquiry information to respond to your questions, discuss product requirements and prepare quotations. Customer records support our business relationship, internal management and business review. Technical and usage information supports website operation, security and analysis.

We do not use inquiry details to enroll you in promotional email campaigns. We do not publish customer lists or provide them to unrelated businesses.

Where EU or UK data protection law applies, we rely on our legitimate interests in responding to business inquiries and maintaining business relationships, subject to your rights. Where you are personally a party to a contract, processing necessary to enter into or perform that contract may instead rely on the contractual basis. Required recordkeeping relies on the applicable legal obligation. Optional services that require consent must be based on your valid consent; simply browsing this website does not provide that consent.

Service providers and other disclosures

We use Hostinger for website hosting, WPForms Lite to provide the inquiry form, SendLayer through WP Mail SMTP to send inquiry notifications, and Gmail to receive and manage inquiry email. We use Google Analytics, Google Maps and WPConsent for website features and cookie choices. WeCom is a separate communication service, and Futong CRM is used for customer management.

Providers may process the information needed to deliver their services. This processing is different from making customer information public or giving customer lists to other businesses. We do not represent that these providers never handle personal information.

WPForms Lite entry backup through Lite Connect is currently disabled. Inquiry messages are handled through email rather than a WPForms entry backup service. This does not mean that email, hosting or other services have no logs or backups.

Information may also need to be disclosed where required by applicable law or a binding legal request.

Cookies and Google services

We use WPConsent to present cookie choices. The currently configured wpconsent_preferences cookie remembers your choice for 30 days. You can choose Preferences, Reject or Accept All in the banner. Your browser settings also let you manage stored cookies.

Under the current configuration, Google Consent Mode is enabled. Google tags may load before you consent and may send limited measurements without analytics cookies when consent is denied. Refusing cookies therefore does not necessarily stop every request to Google.

Embedded-content blocking is currently disabled. A Google Map may consequently connect to Google when a page containing the map loads, before you choose whether to accept optional services. Google may process technical information associated with that connection.

The Cookie Policy page provides additional cookie information. Continuing to browse, dismissing a banner or making an inquiry does not by itself mean you accept optional cookies.

Where your information is handled

Our website server is located in California, United States. The team handling your inquiries is based in China. Email, Google services and other providers may handle information in additional countries under their service arrangements.

Privacy laws can differ between countries. You can contact us for information about the handling locations and transfer arrangements relevant to your information. The applicable arrangements depend on the providers and processing involved.

How long we keep information

Other emails that do not qualify as valid inquiries or show a clear purchasing intention are permanently deleted from our mailbox within seven days of receipt. This mailbox rule is not a promise that every provider log or backup is erased at the same time.

We keep valid inquiries and customer information only while needed for follow-up, our business relationship, necessary internal management or legally required recordkeeping. There is no single fixed retention period for these records. When the relevant need ends, we delete or anonymize the information.

The factors used to decide whether retention is still needed include the status of the inquiry or relationship, ongoing business requirements and any applicable recordkeeping requirement. Cookie choices have their own duration; the configured consent-preference cookie lasts 30 days.

Your privacy rights

Depending on the law that applies to you, you may have rights to access your personal information, correct inaccurate information, request deletion, restrict or object to processing, and receive or transfer information where the conditions for that right are met. Where processing is based on consent, you may withdraw that consent without affecting earlier lawful processing.

We will respond within the period required by the applicable law. Some information may need to be retained where a legal obligation or other lawful exception applies.

Security and third party services

Inquiry and customer information is used for our internal business purposes. Access through hosting, email, communication and CRM services is subject to those systems and their access arrangements. No online system can guarantee complete security.

When you use WeCom or follow a link to another website, that service’s own privacy terms also apply to its processing. Review those terms before sending information through a separate service.
